MTAC Photo Submission, Licensing, and Fair Use Policy

This Photo Submission, Licensing, and Fair Use Policy (“Policy”) governs all photographs, images, and visual materials (“Content”) submitted to More Than A Crown Publications (“MTAC”). By submitting Content to MTAC through any platform, form, tag, upload, or transmission, the submitting party (“Submitter”) agrees to be legally bound by the terms set forth below.

1. Ownership and Authority to Submit

1.1. The Submitter represents and warrants that they are the sole and exclusive owner of the Content or have obtained full, transferable, and legally valid authorization from the rightful copyright holder to submit the Content to MTAC.

1.2. The Submitter affirms that the Content does not infringe upon any copyright, trademark, privacy right, publicity right, or other proprietary interest of any third party.

1.3. The Submitter agrees to indemnify and hold MTAC harmless from any claims, damages, or liabilities arising from unauthorized or improper submission.

2. Mandatory Photographer Credit

2.1. MTAC maintains a strict policy requiring full and accurate photographer credit for all submitted Content.

2.2. The Submitter must provide the photographer’s legal name and/or professional credit line at the time of submission.

2.3. MTAC will not publish, use, or distribute any Content lacking proper photographer attribution.

2.4. MTAC reserves the right to reject, delete, or disregard any submission that does not include verifiable credit information.

3. License Granted to MTAC

3.1. By submitting Content, the Submitter grants MTAC a royalty‑free, worldwide, non‑exclusive, irrevocable license to use, reproduce, publish, display, distribute, transmit, and adapt the Content for a period of one full pageant season (defined as twelve consecutive months from the date of submission).

3.2. Permitted uses include, but are not limited to:

• Marketing and promotional materials

• Advertising

• Editorial and journalistic content

• Educational materials

• Social media posts

• Website and digital publications

• Print publications

3.3. This license applies solely to MTAC’s own platforms, publications, and official materials. MTAC does not sell or transfer submitted Content to third parties.

4. No Compensation or Expectation of Use

4.1. Submission of Content does not guarantee publication, usage, or acknowledgment beyond required photographer credit.

4.2. The Submitter acknowledges that no compensation, royalties, or financial consideration will be provided for the use of submitted Content.

5. Irrevocability After Publication

5.1. Once Content has been used, published, or scheduled for publication by MTAC, the Submitter may not revoke, withdraw, or demand removal of the Content.

5.2. Previously published materials may remain accessible indefinitely in digital or print archives.

6. Editorial Discretion

6.1. MTAC retains full and exclusive editorial discretion regarding whether, how, and when Content is used.

6.2. MTAC may crop, resize, format, or make non‑destructive edits to Content as reasonably necessary for publication, provided such edits do not materially distort the subject.

7. Expiration of License

7.1. The license granted to MTAC expires automatically after one full pageant season (twelve months).

7.2. Upon expiration, MTAC will not use the Content in new materials; however, previously published materials may remain available without limitation.

8. Legal Compliance and Indemnification

8.1. The Submitter agrees to comply with all applicable copyright laws, intellectual property laws, and MTAC policies.

8.2. The Submitter agrees to indemnify, defend, and hold MTAC, its officers, employees, contractors and affiliates harmless from any claims arising from:

• Copyright infringement

• Misattribution

• Unauthorized submission

• Violation of third‑party rights

8.3. MTAC assumes no liability for inaccurate or fraudulent credit information provided by the Submitter.
